How to stop managing class sign-ups over Messenger

Many small studios and independent instructors start simply: a schedule posted on social media and sign-ups via Messenger, WhatsApp or text. While there are only a few clients, that works. But with every new class come more messages, last-minute cancellations and questions about whether there is still a spot.

Why sign-ups by message stop being enough

  • Your attendee list is scattered. One person signed up in a comment, another in a private message and someone else in person after the last class.
  • You end up replying in the evenings and at weekends. Every “is there still a spot?” waits for your answer.
  • Freed-up spots stay empty. When someone cancels an hour before class, there is hardly time to reach anyone else who might want to come.
  • You keep explaining the rules again and again. How late can people cancel, and what happens if they do not show up – everyone understands it slightly differently.

What online booking changes

With online booking, clients see the schedule and available spots and sign up themselves whenever it suits them. You have an accurate attendee list for every class in one place. You do not stop talking to your clients – the conversation simply moves from admin to training.

A waitlist instead of an empty spot

When a class is full, clients can join the waitlist. If someone cancels, the freed-up spot can be taken by someone from the waitlist without you having to message anyone.

Cancellation rules that apply to everyone

You set your cancellation rules once, for example how long before class a booking can be cancelled. Clients see them before they book, so there is no more negotiating exceptions.

Reminders before class

Clients receive a reminder before class. It is easier for them to remember they are booked, and if they cannot make it, they can cancel in time and free the spot for others.

Preferred members

On Fitpulz you can set preferred members – for example regular clients who matter to you in particular.

How to move from Messenger to online booking

  1. Register your studio and add your class schedule, including capacity.
  2. Set your cancellation rules.
  3. Send clients the booking link – in your group chat, on social media and on your website.
  4. During the transition, reply to sign-up messages with the booking link. Clients will gradually get used to booking on their own.

What it costs

Fitpulz is free for centres and instructors, for good. Booking, the waitlist, reminders and cancellation rules are all available at no charge.
